echive Indexer is part of the echive Series for document management. Its simple interface and indexing short cuts make quick work of adding searchable information to scanned and electronic files. Add file renaming, full page OCR, image clean up and an optional Zone interface, and you have a complete indexing tool. echive Indexer can also output index information to csv files for use with other document management software..
Indexing
- An unlimited number of index fields can be created for meeting your file search/retrieval needs. Index fields are categories of information that will help you locate your files. For example, an accounting department might have fields for vendor, customer, purchase order number and invoice number. Or a facilities department might need fields for building name, floor, drawing type, drawing number and revision number. (See "What is Indexing" for more information about indexing.)
- Dropdown menus can be used for any index fields that use repetitive index information. This adds speed and accuracy to indexing.
- Using "drag and drop" indexing is another quick and accurate way to index. Users draw a box around any text on the file and drag it onto any index field.
- And, echive Indexer has full text indexing using our OCR (Optical Character Recognition) engine. This OCR info is used for full text searching within echive.
- Our shortcuts will also speed up indexing.
-- If you are indexing a batch of similar documents, select the option to Retain Properties. This will keep all of the index field information, except for Title, for your next file.
-- Make sure that you use our Open Folder option, so images automatically load in sequential order.
-- And, if you have a lot of similar files, Zone Indexing can really speed up the process. Read more about Zone Indexer.
-- Create re-usable profiles to manage all of your indexing, destination and renaming rules. You can create a profile for each document type, or each department, or each project. echive supports unlimited profiles, so use your imagination.
File Processing
- Easily rename your files. Scanners typically name files with a meaningless numerical sequence. echive Indexer gives you the option of renaming your file using the Title Field. As you index, your file is renamed.
- Establish an intelligent file output for storing your documents. You can use an index field to define your output folder. Using the example at the right and selecting "Category" for an output folder. All documents with that have 1981 as Category will go in a folder called 1981, if they have 1982 for Category, they will go into a folder called 1982, etc.
Other Features
- Clean up your scans while you are indexing. You are already viewing the files you are indexing, save some time and improve the image with deskew, despeckle and crop.
- Indexer has pan and zoom tools for viewing scans and most common file formats with launching any native applications. A unique magnifier box allows close viewing without having to zoom in.
- A multi-page file tool provides thumbnails for easily viewing indvidual pages. Also, append, add or delete pages as necessary to prevent rescanning.
