echive®Indexer: Easily add search information to scanned and electronic files

echive Indexer is a component of the echive Series for indexing files that are being added to an echive Organizer database. With a simple interface and easy-to-use tools, you can quickly index property fields and full text and preview andclean up scans, It gives you an efficient way to add index data (searchable information) to files that are going into an echive Organizer database.

Add search information to your files

Property Field Indexing
Property fields are categories of information used for locating files in a database. These are customizable to meet your business needs, such as Project Name, Customer, Drawing Number, Vendor, Invoice Number, Sales Rep., etc. Indexer provides a simple interface for applying the property fields you create to the files that are going into an echive database. Filling in property fields is as easy as dragging and dropping text from the image, selecting from a dropdown list or typing directly into the appropriate field. This property field index information can also be output to a common format for use with other database solutions.

Full Text Indexing
Optical Character Recognition takes the text in scanned files and turns it into recognizable characters for full text searching - called full text indexing. Using echive Indexer, OCR can be used on individual files or an entire folder. This full text information is automatically sent to an echive database during the indexing process.

Image Preview
Quickly review the quality of your scanned image using the pan, zoom, and magnify tools in echive Indexer. Then, you can determine whether your document or drawing should be rescanned or just cleaned up using echive Indexer image clean up tools.

Image Clean Up
Indexer's auto deskew, despeckle and crop tools correct your scans, which improves legibility and reduces file size. Multiple files can be cleaned up at once using the Batch processing feature.

echive Indexer is for indexing and cleaning up your existing electronic files as well as scanned files that you want to add to the database.

Indexer is more than just indexing ...

Re-usable Profiles A profiles stores a group of property fields (users do not have to use every field for every file), file input/output locations, renaming options and database connection. This simplifies the user experience while creating uniform information collection and file handling. Create profiles for different file types, different customers, different business divisions, etc.

Rename Files Easily rename your files using the contents of the Title Property Field. Scanners typically use a meaningless numerical sequence for file naming which makes it difficult to identify later. This option is stored within a profile.

File Output Options Input and output directories are part of the profile settings. An input directory is used for automatically loading files. As soon as one file is indexed, the next file in the folder is loaded. You can also choose to load a file from using standard menu options to select different folders or individual files.

Files will be automatically sent to the defined output folder after indexing. This destination can be further defined using the contents of a property field. For example, a property field called "vendor" is usually populated with "echive", "GTX", "Spicer", "Vidar", etc. All files that contain "echive" in the property field of "vendor" will end up in a folder called "echive". And, if this folder doesn't exist, Indexer will automatically create it.This creates a more organized Windows folder structure.

Manage multi-page files Indexer has thumbnail viewing for managing the individual pages within a multi-page document. Easily move, delete or insert pages anywhere in the document.
