echive Organizer DatabaseUsing an industry standard database format, Organizer provides the foundation for document search and retrieval success. Its simple step by step, behind the scenes set up and intuitive user interface ensures that document management needs are met and users are up and running quickly. An Organizer database is designed around customizable index fields. Index fields can include traditional information such as file name, date, and author, and customized fields such as purchase order number, vendor, project, sales person, etc. A well-designed structure will create an optimal search system. Users will be able to easily locate files by sorting and drilling down through these index fields. Accurate file location is a main component of any database solution. Organizer provides three means of finding information, regardless of file type:
Distributing information is easy with echive. Entire databases or just selected files can be published to CD/DVD media. An installable version of echive Explorer can be included on the media for a standalone search, view, print solution. Databases and/or files can also be distributed across intranets and the Internet. ![]() Client/User Application
echive is designed with the user in mind. Many people are comfortable with the MSWindows Explorer style interface. echive incorporates this concept into an intuitive and user-friendly look. With icons that are familiar and a well-planned folder structure, users are able to comfortably navigate through echive functions and come up to speed quickly.
Creating Index Fields
Index fields are created inside echive Organizer using the Property Designer. Design a file organization system and name the fields to meet your search objectives.
These index fields become a dynamic file cabinet for organizing information. Users no longer have to remember all the files that are associated with a given project. Simply sorting on a project category will provide a list of associated files, including scanned drawings and documents, image files, MS Office files, pdf's, etc. Only the Organizer Administrator has access to the Property Designer Interface. Adding your Drawings & DocumentsNow that the database has been organized with index fields, adding files is easy. Most common file formats can be easily incorporated into an echive Organizer database. See the echive Overview for a complete list of formats. Drag and Drop individual files or an entire directory from MS Windows Explorer into echive Index Fields. This not only adds files to the database, but indexes them at the same time. Multiple index fields, up to three deep, can be assigned in one easy step. For example, all files with a subject category of "echive", authored by "Jim" with document type of "datasheet" can be quickly dragged into the database with those property fields indexed. Or, use our Foldexertm (folder indexing) to capture multiple directories or entire disk drives. Foldexer will map the files and directories into equivalent and searchable index fields as well as maintain traditional index information such as author, title and create date. Files can now be sorted according to their index fields in a familiar tree structure. Full Text Indexing
After adding documents (scanned images as well as existing electronic drawings & documents) to your database, echive indexes the entire text contents of your scanned documents, office, and CAD files. Simply click on the SurroundSearch icon and echive will automatically read the text contents. Text information from TIFF files (scanned documents and drawings) must first be OCR'd by echive Indexer OCR. Full text indexing prepares files for full text searching. Searching for any document or drawing will never be easier!
